Job Title: Office Administrator

Job Summary: We are seeking a dedicated and organized Office Administrator to join our team. The Office Administrator will play a crucial role in ensuring the smooth and efficient day-to-day operations of our office. The ideal candidate should have strong organizational and communication skills, attention to detail, and the ability to work independently as well as collaboratively with team members.

Key Responsibilities:

  1. Administrative Support: Provide comprehensive administrative support to the office, including but not limited to handling phone calls, managing calendars, scheduling meetings, and making travel arrangements.
  2. Office Management: Oversee the general functioning of the office, including maintaining office supplies, managing office equipment, and coordinating with vendors and service providers.
  3. Document Management: Create and maintain office documents, reports, and databases. Organize and file important documents both electronically and in physical files.
  4. Communication: Act as a point of contact between the office and external stakeholders, clients, and visitors. Manage incoming and outgoing correspondence, emails, and calls.
  5. Meeting Coordination: Arrange and coordinate meetings, conferences, and events, including preparing meeting agendas, taking minutes, and ensuring necessary materials are available.
  6. Financial Administration: Assist with basic financial tasks such as expense tracking, invoice processing, and reconciling office-related accounts.
  7. Human Resources Support: Assist in onboarding new employees, maintaining personnel records, and ensuring office policies and procedures are followed.
  8. Facilities Maintenance: Oversee the maintenance and cleanliness of the office space, ensuring a safe and comfortable working environment for all employees.
  9. Technology Support: Provide basic IT support, troubleshoot office equipment, and coordinate with IT personnel for more complex technical issues.
  10. Special Projects: Support various office-wide initiatives and projects as needed.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in office administration is a plus.
  • Proven experience as an office administrator, office assistant, or in a related role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer skills.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
