Key Responsibilities:
- Administrative Support: Provide administrative support to various departments and team members, including but not limited to data entry, filing, photocopying, and managing office supplies.
- Reception: Greet and assist visitors, answer phone calls, and direct inquiries to the appropriate personnel.
- Scheduling: Manage and maintain calendars, schedule appointments, and coordinate meetings.
- Correspondence: Draft and proofread emails, letters, and documents as needed.
- Record Keeping: Maintain and update physical and electronic records, including personnel files, inventory records, and confidential documents.
- Mail and Deliveries: Sort and distribute incoming mail and packages; prepare outgoing mail and shipments.
- Facility Maintenance: Assist in maintaining a clean and organized office environment by coordinating with maintenance and cleaning staff as necessary.
- Travel Arrangements: Arrange travel accommodations, including flights, hotels, and transportation, for employees when required.
- Expense Reporting: Assist in expense tracking and reporting by maintaining records and assisting employees with expense submissions.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an office assistant, administrative assistant, or in a similar role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills, both written and verbal.
